Understanding the Departments List
Navigate to Settings → Departments (by clicking the active organisation card on the Organisation page) to see all departments in your organisation. Each department card displays:Creating a Department

Open the creation dialog
Click New Department in the top-right corner of the Departments list. If no departments exist yet, you can also click Create first department in the empty state area.

Fill in the department details
Complete the form fields:

Save the department
Click Create to save the new department. It appears immediately in the Departments list.Click Cancel at any time to close the dialog without saving.
Editing a Department
You can update a department’s name, description, or colour at any time.1
Open the edit dialog
Locate the department card in the Departments list and click the pencil (edit) icon. The dialog opens pre-filled with the current values.

Update the fields
Change the Name, Description, or Color as needed. The same validation rules apply as when creating.

Save your changes
Click Save Changes to apply your updates, or Cancel to discard them.
The Total, Managers, and Employees tiles on the department card are read-only. They update automatically as you add or remove members.
Managing Department Members
Click Manage members on any department card to open that department’s full member management page.Page Overview
The top of the page shows the department’s colour, name, and description. Use the ← All departments link to return to the Departments list. The member table displays everyone currently in the department:
Pending invitations also appear in the same table, showing the role the invitee will receive upon acceptance and the invitation expiry date.
Use the search box to filter the table by name or email. Use the pagination controls at the bottom to move between pages.
Inviting a New User to the Department
Use this option to invite someone who is not yet a member of your organisation. They receive an email invitation and join both the organisation and the department when they accept.1
Open the invitation dialog
Click Invite New User to Department on the member management page.

Enter the invitation details

Send the invitation
Click Send invitation (or the equivalent confirm button) to dispatch the email. The person appears in the member table as a pending invitation until they accept.
Adding Existing Organisation Members
Use this option to add someone who is already a member of your organisation to this department.1
Open the member picker
Click Add Existing Employees to Department. A searchable picker opens listing all org members who are not already in this department.

Search and select members
Type a name or email in the search field to filter the list, then select the members you want to add. Members already in the department are hidden from the picker.

Confirm your selection
Click Done to close the picker and add the selected members. All newly added members start with the Employee role. You can change their role afterwards using the row actions menu.
Setting Member Roles
You can change any member’s department role after they have been added.1
Open the row actions menu
Click the three-dot menu (⋯) on the member’s row in the table.

Set the role
Hover over Set role to expand the submenu, then choose Manager or Employee. A checkmark indicates the member’s current role.
A Dept Admin role is listed as coming soon. Once available, it will allow a designated member to manage the department’s membership without requiring org-level Admin access.
Removing a Member from a Department
Removing a member from a department takes away their access to department-scoped resources but does not remove them from the organisation.1
Open the row actions menu
Click the three-dot menu (⋯) on the member’s row.

Remove the member
Select Remove from department. A confirmation prompt appears — confirm to proceed.
Managing Pending Invitations
Pending invitations are shown inline in the member table. You can take action on them at any time.
To access these actions, click the three-dot menu (⋯) on the pending invitation row.
Roles Reference
Manager
Full access to department resources. Assigned when inviting a new user (if chosen) or manually set after a member is added.
Employee
Standard access to department resources. The default role for all members added via the existing-member picker; can be changed at any time.
Dept Admin is a forthcoming role that will grant management permissions within a single department. It is not yet available.
