# Manage Billing Plans and Credit Budgets in Nexalytica

> View your current plan, monitor credit consumption, set per-department credit budgets, and switch subscription tiers in Nexalytica.

Nexalytica billing revolves around two concepts: your **plan** and your **credits**. A plan is a subscription tier (Starter, Growth, Pro, or Enterprise) billed monthly or yearly that sets hard ceilings on dashboards, data sources, files, agents, users, storage, and the number of AI credits available each billing period. Credits are the unit of AI work — consumed whenever an agent runs, a chat question is answered, or data is processed. When your credit allowance is exhausted, AI work pauses until the next billing period begins or you upgrade. You can also divide your credit allowance across departments so teams stay accountable for their share of AI spend.

  Only **Org Owners** and **Admins** can access billing settings. Managers and employees do not have access to any billing page.

## Overview tab

The Overview tab is your at-a-glance billing dashboard. Navigate to **Settings → Billing → Overview** to see all of the cards described below.

### Current plan card

Displays your active plan name, price, billing interval (monthly or yearly), and the date your subscription next renews.

Click **Change plan** to jump directly to the Plans tab and explore other tiers.

### Credit usage card

Shows how many credits your organisation has consumed out of your total allowance for the current billing period, along with a progress bar, a percentage figure, and the number of days remaining before the period resets.

<Tip>
  Keep an eye on the days-remaining figure alongside the percentage consumed. A high percentage with many days left is an early signal to review department budgets or consider upgrading.

### Quick stats card

Provides a compact financial and team summary for the current period.

| ------------- | ------------------------------------------------------- |
| Active users  | True headcount of users who have been active            |
| Departments   | Total number of departments in your organisation        |
| Annual spend  | Projected yearly cost at your current plan and interval |
| Per user / mo | Effective monthly cost divided across active users      |

### Payment method card

Shows the card currently on file: brand, last four digits, cardholder name, and expiry date. If no card has been added yet, the card reads **No payment method on file**.

Click **Manage →** to open the Payment tab where you can add or update cards.

### Department breakdown card

A colour-coded horizontal bar and legend showing each department's proportional share of total credits consumed so far in the billing period. Use this to spot which teams are driving AI spend before diving into per-department budgets.

Click **Manage budgets →** to open the Departments tab.

## Departments tab

Use the Departments tab to divide your organisation's credit allowance into per-department budgets. Budgets are a planning and alerting tool — if a department goes over its allocation, spend continues to draw from the organisation's overall plan allowance and the overage is flagged rather than blocked.

### Budget alerts banner

A banner at the top of the tab shows the percentage threshold at which budget alerts fire (for example, 80%). Click **Configure alerts →** to open the Settings tab and adjust this threshold.

### Reading a department card

Each department is represented by a card showing:

| Colour swatch    | The department's colour used throughout the billing UI    |
| Users count      | Number of members in the department                       |
| Used credits     | Credits consumed by this department in the current period |
| Budget credits   | The allocation assigned to this department                |
| Progress bar     | Visual representation of used versus budget               |
| Remaining figure | Percentage consumed and absolute credits remaining        |

### Status badges

    An **amber** badge appears when the department's consumption crosses the alert threshold but is still within its allocated budget. Consider reviewing usage or increasing the allocation.

    A **red** badge appears when the department has consumed more credits than its allocation. Spend continues from the org's overall allowance, but this signals a budget review is needed.

### Setting or editing a department budget

    Find the department you want to update on the Departments tab.

    Click the allocation number next to the pencil icon. The number becomes an inline editable field.

    Type the new credit allocation for this department.

  <Step title="Save or discard">
    Click the **check (✓)** to save, or the **× (X)** to cancel. You can also press **Enter** to save or **Escape** to cancel.

<Note>
  Budget allocations are for planning and alerting only. A department that exceeds its budget continues to draw from the organisation's overall plan allowance — Nexalytica does not hard-block department AI usage when a budget is exceeded.

## Plans tab

The Plans tab lets you compare every available tier and change your subscription.

### Plan comparison

Nexalytica offers four tiers. All plans include SSO, audit logs, and RBAC.

| Starter    | Small teams getting started with AI analytics                  |
| Growth     | Growing teams needing more sources and agents                  |
| Pro        | Larger organisations with high AI workloads                    |
| Enterprise | Custom requirements, dedicated support, and negotiated pricing |

Each plan card shows the plan name, a short description, its price and billing interval, and the full feature list included at that tier.

### Identifying your current plan

Your active plan displays a **Current plan** badge, and its action button is labelled **Active** and is disabled. All other plans show a **Switch to \[plan]** button.

### Switching plans

    Navigate to **Settings → Billing → Plans**.

    Review the plan cards and click **Switch to \[plan]** on the tier you want.

    If you are on a trial or have no card on file, you will be prompted to add a payment method before the switch can proceed.

    If a valid card is already on file, a confirmation dialog appears showing your current and new plans side by side. Review the details, then click **Confirm change** to proceed or **Cancel** to return.

### Upgrade vs downgrade behaviour

    Upgrades take effect **immediately**. You gain access to the higher tier's features and limits right away. The cost difference between your old and new plan is calculated on a pro-rated basis and applied to your next invoice.

    Downgrades are **scheduled** to take effect at the end of your current billing period. You retain access to your current plan's features and limits until that date, at which point the new lower-tier limits come into force.

### Enterprise plan

The Enterprise plan does not have a self-serve **Switch to** button. Instead, click **Contact sales** to open a pre-addressed email to the Nexalytica sales team to discuss custom requirements, pricing, and onboarding.
